The Problem: A System That Couldn't Keep Up With the Field
Our client was a large-scale logistics company with over 500 field personnel including drivers and warehouse staff. While their existing ERP system was strong on the accounting side, it proved extremely cumbersome when it came to collecting data from the field.
Manual data burden: Driver expenses, fuel receipts, and advance requests made during trips were all reaching headquarters on paper. HR and accounting departments spent days manually entering this data into the ERP. Incorrect entries, lost receipts, and duplicate payments had become routine.
System fatigue: At the end of each month, when massive payroll and expense data was pushed into the ERP through heavy database queries, the system reached a breaking point. This directly disrupted the workflow of other departments.
The Approach: Augment the ERP, Not Replace It
Rather than replacing the ERP system our client had invested heavily in, we built a modular architecture that feeds the system from the outside and keeps pace with field operations.
Mobile solution for the field: A mobile application with offline support was developed for drivers. Personnel could photograph expense receipts and upload them to the system within seconds. Once connectivity was restored, data automatically synchronized to headquarters.
Web portal for management: A digital workflow web panel was designed for HR managers and department leads, consolidating all incoming field requests on a single screen with approval or rejection possible within seconds. Paper forms were eliminated entirely.
Functional ERP integration: Approved data was transferred directly to the relevant ERP modules via modern, lightweight API services — replacing the complex stored procedures that had been straining the ERP database. Data integrity was validated step by step at the application layer, reducing the margin for error to zero.
