As retail chains grow, the biggest operational bottleneck is that warehouse-to-store stock synchronization and field audits stay dependent on manual processes as store count increases. We encountered exactly this with a retail chain operating 150+ stores: their SAP infrastructure was solid, but store audits were still done with paper forms, and stock discrepancies were only noticed weeks later.
What was the problem?
Field staff filled out paper audit forms on every store visit, then manually entered them into the system back at the office. This created three critical issues: data entry delays (averaging 4–5 days), transcription errors, and losses caused by late-detected stock discrepancies.
How did we solve it?
Without touching the existing SAP system at all, we built a three-layer solution:
- An offline-capable mobile audit app for field staff — forms can be filled even without internet at the store, syncing automatically once connectivity returns.
- Two-way API integration with SAP — scanning a barcode pulls live stock data from SAP, and audit results are written back to SAP instantly.
- A real-time dashboard for regional managers — showing which store was audited on which day and where discrepancies occurred, all from one screen.
What was the outcome?
Data entry delay dropped from 4–5 days to a few hours. Stock discrepancies started being caught the same day, resulting in a noticeable reduction in losses compared to the previous period. The paper-handling time for field staff was nearly eliminated, freeing that time up for more frequent store visits.
